This Privacy Notice explains how SineWave Solutions ("we", "us") collects, uses and protects information when you use HospiCore PMS ("the Service").

1. Information We Collect

We collect: (a) account information — your name, email and role; (b) property and operational data you enter — reservations, guest records, financial entries, staff and inventory records; (c) uploaded images such as guest IDs and property logos; and (d) usage information needed to operate and secure the Service. Payment card details are collected and processed by our payment provider, not by us.

2. How We Use Information

We use information to provide and maintain the Service, authenticate users, activate and manage subscriptions, provide support, and improve reliability and security. We do not sell your personal information.

3. Service Providers

We rely on trusted third parties to run the Service:

• Google Firebase (authentication and database hosting) — stores your account and property data.
• Paddle (Merchant of Record) — processes payments and subscription billing. See Paddle's privacy policy.
• ImgBB (image hosting) — stores images you upload, such as IDs and logos.

These providers process data only as needed to deliver their part of the Service.

4. Data Storage & Security

Data is stored on secured cloud infrastructure. We apply reasonable technical and organisational measures to protect it. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

5. Data Retention

We retain your data for as long as your account is active and as needed to provide the Service. After account closure we retain data only as required by law or legitimate business needs, after which it is deleted or anonymised. You may request an export or deletion of your data.

6. Your Rights

Subject to applicable law, you may request access to, correction of, or deletion of your personal information, and may object to or restrict certain processing. To exercise these rights, contact us using the details below.

7. Guest Data

As a property using the Service, you act as the controller of your guests' data and are responsible for handling it lawfully, including obtaining any required consents. We process such data on your behalf to provide the Service.

8. Children

The Service is intended for businesses and is not directed at children.

9. Changes

We may update this Notice from time to time. Material changes will be notified through the Service or by email.
